GENERAL TERMS AND CONDITIONS OF MOUTH CANCER SCOTLAND LTD (UK) ORGANISERS OF GOCF20

1. REGISTRATION

Once payment is made you will be contacted to verify your eligibility for the delegate rate you have selected and paid for. Mouth Cancer Scotland Ltd will review each registration on an individual basis. In order to qualify for any registration category other than the full delegate rate, the delegate will be required to provide proof of entitlement within 7 days of completing the booking. Mouth Cancer Scotland Ltd reserves the right to review each registration for the appropriateness of the selected registration category, make any necessary corrections and charge your credit card the difference in registration fees.

Only if your verification is successful will you receive a final email confirmation of registration and acceptance as a delegate. In the case of delegates selecting and paying the full delegate rate they will automatically receive the final email confirmation of registration and acceptance as a delegate.

Bookings must be received no later than 6 weeks prior to the forum. Anyone booking later than 6 weeks may be subject to the full delegate rate and additional charge of 25% of the full delegate rate.

Full delegate rate

Delegates working and resident in countries classed as High Income countries will be required to pay the full delegate rate. This will include full access to the two day educational event, lunch on each day, coffee breaks, full access to the social event on the first evening and continuing professional development credits.

Low income, lower middle income, upper middle income countries.

Mouth Cancer Scotland Ltd will refer to the World Bank Income Groups at the time of booking in order to ascertain the appropriate rate for a delegate’s country of residence. In order to qualify for registration categories associated with low income, lower middle income and upper middle income countries, delegates will be required to prove they are currently working and resident within that country. Acceptable methods of proof include: valid current institution I.D., recent household bill (dated within 3 months of the booking), or signed letter on headed paper from home institution confirming residency. Please note that a passport is not acceptable as this do not prove residency but only nationality. Delegates are advised to check the current status of their country of residence prior to registration on our registration page or at the following link: https://data.worldbank.org/.

Student.

Mouth Cancer Scotland Ltd defines a student as a person in full time education at the time of booking. Student delegates will be required to provide evidence of their full time education status. Acceptable methods of proof will include: institutional I.D. or a signed letter on headed paper from the institution that they are enrolled with. This category will not attract continuing professional development credit but will include a certificate of participation. Access to the full two day educational programme with lunches and coffee breaks on both days is included as well as the social event.

Patients and carers.

Patient and carers are invited to be part of the forum at a reduced registration rate. This category will not attract continuing professional development credit but will include a certificate of participation. Accompanying Persons

Accompanying persons are defined as those who may be travelling with a meeting delegate and who have no scientific or educational interest in the meeting. Meeting delegates, students, colleagues, co-authors, exhibitor personnel, corporate sponsor employees, intellectual sponsor employees or members etc., do not qualify as accompanying persons and are required to pay the appropriate registration fee if they wish to attend. Accompanying persons are not eligible to earn continuing professional development credits, will not receive a certificate of attendance for the meeting and will not be admitted to the Forum sessions. However, they are welcome to join us at all refreshment sessions and the social event on the first evening.

2. CANCELLATION BY THE DELEGATE

All registrations are subject to the delegate cancellation policy. Cancellations must be made in writing by the cancellation deadline date. Refunds or credits will not be given for failure to attend, late arrival, unattended events or early departure. Refunds will be processed after the meeting. Any cancellation requests made after the cancellation deadline will incur the full cost of the registration fee assigned at the time of booking.

Cancellation deadline and cancellation fees:

On or before 5th December 2019 Full refund less £50 GBP cancellation fee and any other expenses incurred by Mouth Cancer Scotland Ltd as a result of the booking and subsequent cancellation including any international banking fees. 
After 19th January 2020 No refund will be provided.

Changes to existing bookings

Once registration is accepted by Mouth Cancer Scotland Ltd it will not be possible to change the registration category of the delegate. A £20 GBP processing fee will be deducted for any other changes to existing registrations such as the name of the delegate. Changes to the name of the delegate must be made by 19th January 2020.
After 20th January 2020 it is not possible to change registration details.

All cancellations must be notified by email to [email protected] and the date of the email will be taken as the notified date.

3. EVENT CONTENT

We reserve the right to change the event content, the venue or location and/or the faculty at any time. However, we make every effort to ensure that all events run as advertised.

4. CANCELLATION OF THE EVENT

We reserve the right to cancel/reschedule the event, at any time. Cancellation notices will be sent to the email address given on the registration form and receipt will be assumed unless evidence of non-delivery is received. A full refund of event registration fees (only) will be made to participants who are unable to attend on the rescheduled date. Mouth Cancer Scotland Ltd will not accept liability for any other loss, damage, costs or expenses incurred by the Delegate as a result of the cancellation/rescheduling of the event, including without limitation: professional fees or other earnings and costs.

5. DATA PROTECTION

The submission of personal or business data (e-mail addresses, names, addresses) is done on an explicitly voluntary basis. This data will not be transmitted to any third party unless you explicitly indicate that this is your wish.With your registration you confirm to your personal information being recorded for the purpose of event administration. 7. ACCOMMODATION BOOKINGS

MCS Ltd are providing a link from the website introducing delegates to a booking platform but do not hold any responsibility for bookings made through the portal. MCS Ltd does not accept any liability for bookings made through the portal and delegates enter into a contract with the accommodation provider on a personal basis.
